No additional reimbursements are available unless you are a keynote speaker with a written contract or a 2023 Steering Committee Member.

Registration for this event has now closed.

The hotel room block for this event has now closed. 

With a few exceptions, most speakers receive two nights hotel room reimbursement. 

Please submit your receipt(s) to this page after the event concludes. All speakers will be reimbursed no later than November 17, 2023.

General Session/Keynote Speakers: Exhibit Hall is set up in rounds with the main stage in the front of the exhibit hall. 

Breakout Sessions (30-minute sessions): Each room is set up with a screen, projector, handheld clicker, 6-foot table, 3 chairs, and 3 lav mics. Session rooms are set up classroom style for 75 attendees. Please do not adjust the room setup, as there is very little time between sessions and the room is set up to accommodate all sessions/speakers.

You will not send us your presentation in advance of the event. Please do not email your presentation to any of our team members. 

If you want your presentation to be made available to attendees in the mobile app, upload it any time prior to the start of the event. 

If you are a General Session/Keynote Speaker (45/50-minute session), our team will reach out to you to discuss logistics.

If your presentation contains any custom fonts, the rented PC in the session room may not have those fonts loaded. Therefore, the PC will convert your fonts to the closest font loaded on that PC. No downloading of any kind is allowed on the rented PCs in the session rooms.

If you have any video in your presentation, ensure it is embedded directly into your presentation and not linked to an outside source (i.e., YouTube)

There are no Macs in the session rooms.

PC Laptops are installed in each session room. However, you will need to bring your own laptop if either of the following apply to your session:

  • You are using a Mac rather than a PC.
  • Your session is built in PowerPoint AND you are using custom fonts. Those fonts are not installed in the PCs provided in session rooms, and no downloading of any kind is allowed on the rented equipment in the session room. If you do not know if your presentation contains custom fonts, please ask the person who created your presentation.

Dedicated room attendants will be available in each session room. PC and Mac adapters are provided in each session room. The timeframe between sessions is generally 5 minutes, so please take this time into consideration.

No. We suggest that when your session time begins, you begin your presentation even if attendees are still coming into the room. We suggest with 30-minute sessions that you keep your introductions to a minimum. Remember most if not all attendees already know who you are! (All general session (main stage) speakers are introduced.)

No. Please note, due to contract limitations with our AV vendor, speakers may not record their own sessions using outside vendors/equipment.

Dedicated room attendants will be in each session room for the duration of every session. They will be in the back of the room and will hold up a silent notification that you have five minutes left in your session and again when you have one minute left in your session. After your session has ended, we ask that you exit the room to allow the next speaker to set up their presentation.
